How to Obtain a Death Certificate Online: A Complete Guide

In civil registration, a person needs not only a birth certificate but also a death certificate.

This is because the status of a citizen who has passed away needs to be recorded clearly and transparently. Want to know the right way to apply for a death certificate online?

What Is a Death Certificate?

Before you apply for a death certificate online, you should first understand what this document is. It is also important to know the requirements and procedures for issuing it so you won't be confused later.

Just as a newborn needs proof of birth, a person who has passed away also needs proof of death. Why is this? Because the document is a sign that the person is no longer with you in this world.

You can apply for a death document at the Office of Population and Civil Registration (Disdukcapil). The party required to report the death to Disdukcapil is the head of the RT (neighborhood unit) and anyone who witnessed the death. The deadline for reporting the death is no later than 30 days after the deceased passed away.

According to the Ministry of Home Affairs of Indonesia, the certificate serves several purposes that affect the population administration of Indonesian society (Dukcapil Kemendagri):

  • To prove that the person named in the document has indeed died and that their status has not been falsified.
  • To facilitate the distribution of inheritance to heirs, as well as the disbursement of Taspen funds, pension funds, and/or insurance claims for the deceased's family.
  • To prevent others from misusing the deceased's name when government subsidy programs and other social assistance are distributed.

Requirements for Issuing a Death Certificate Online

Nowadays, you can already issue all kinds of documents online, including proof of a person's death. You must of course bring along a set of valid and accurate data to apply.

The requirements that the reporter must meet to create a death certificate online are as follows:

1. Timely Reporting

As explained in the previous section, the deadline for reporting a citizen's death is 30 days after they passed away. Therefore, bring the following documents to Disdukcapil:

  • Photocopies of the ID cards (KTP) of three people: the citizen who passed away, the person reporting the death, and an eyewitness.
  • The Family Card (KK) of the deceased and of the reporting party (photocopies).
  • The deceased's birth certificate or marriage certificate, preferably not the original.
  • A death certificate from a medical professional (doctor) or hospital that examined the deceased's body.
  • A death certificate issued by the head of the RT and the kelurahan (village/ward) where the deceased lived.

If the deceased has no identity that the witness or reporter recognizes, bring a statement of death from the police or the court.

2. Exceeding the 30-Day Limit

When someone dies, an eyewitness or reporting party may not always be able to apply for a certificate of cause of death or even a death certificate onlineright away. Therefore, you should bring the following requirements to the local population office:

  • The autopsy or examination results from the community health center (puskesmas) or hospital that examined the deceased's body.
  • A statement of the occurrence of death from the local kelurahan.
  • Photocopies of the deceased's birth certificate, Family Card, and ID card (KTP).
  • If the deceased was a widow or widower, also include the death certificate of their spouse.
  • A photocopy of the ID card (KTP) of the reporting party or the eyewitness who witnessed the death.
  • Only the Disdukcapil in the area where the death occurred is authorized to issue the certificate; no other party may be delegated to do so.

3. Special Notes for Online Registration

With the help of the internet and modern technology, you no longer have to go through the trouble of applying for a death certificate in person. The requirements are fairly simple, but they only apply to citizens who have already registered their NIK (national identity number) and family card:

  • A post-mortem report or a certificate from the hospital stating that the deceased has passed away.
  • The original family card (Kartu Keluarga), not a photocopy.
  • The deceased's electronic ID card (KTP elektronik).
  • A letter of introduction issued by the head of the RT or RW (neighborhood unit) where the deceased lived during their lifetime.
  • Photocopies of the ID cards of at least two witnesses.

4. Special Requirements for Foreign Citizens (WNA)

For foreign citizens (WNA) who pass away in Indonesia, there are several documents you must prepare. Whether or not you know the person or where they came from, the death must still be reported to the authorities. In addition, the deceased's family must pay a retribution fee.

  • A post-mortem report from the hospital or community health center (puskesmas) that examined the deceased.
  • A certificate of death issued by the local sub-district office (kelurahan).
  • The ID card of the reporting party and two eyewitnesses (photocopies).
  • The family cards of the reporting party and the deceased (photocopies).
  • The deceased's passport, which must bear a legalization stamp (also photocopied).
  • A photocopy of the SKTT (Certificate of Residence) or the Surat Keterangan Tempat Tinggal for foreign citizens holding an ITAS (Limited Stay Permit).
