Requirements and Steps to Obtain a Death Certificate, Including the Documents Needed

When someone passes away, the family will be asked to arrange a death certificate. The death certificate can be processed at the local Dinas Kependudukan dan Catatan Sipil (Disdukcapil), the Civil Registry Office, so that the death is officially recorded by the state. Obtaining a death certificate is very important, as this document will be needed for various other purposes. It is not difficult to make a death certificate; simply bring the required documents and then register the death with Dukcapil.

Requirements and Steps to Obtain a Death Certificate, Including the Documents Needed

This service is provided free of charge for both Indonesian citizens (WNI) and foreign nationals (WNA). The process of obtaining a death certificate takes approximately 14 working days. Once the death certificate report is made, the population data of the deceased person will be removed. So, what documents are required to obtain a death certificate? Below are the requirements and procedures for making a death certificate, as summarized by Kamboja.

1. Obtaining a New Death Certificate for Indonesian Citizens

Before going to the local Disdukcapil office, prepare the following documents as requirements for the certificate:

  • Photocopy of the deceased person's ID card (KTP).
  • Photocopy of the reporting person's ID card (KTP).
  • Photocopy of the witness's ID card (KTP).
  • Photocopy of the Family Card (KK) of the deceased and the reporting person.
  • Photocopy of the deceased person's birth certificate or marriage certificate.
  • Death certificate from a hospital, community health center (puskesmas), or doctor.
  • Death certificate from the village office (kelurahan).
  • Death certificate from the RT (neighborhood unit) head.

2. Obtaining a Death Certificate After More Than 30 Days

If the death certificate has not been made even after 30 days have passed since the date of death, the application can still be submitted under the following requirements:

  • Death certificate from a hospital, doctor, or puskesmas.
  • Death certificate from the village office (kelurahan).
  • Photocopy of the KTP and KK of the deceased person.
  • Photocopy of the deceased person's birth certificate.
  • Photocopy of the death certificate of the surviving spouse, if the deceased was a widower or widow.
  • Photocopy of the KTP of the reporting person (family member) and the witness. A witness is a person who knows about the death being reported.

Please note that this application must be submitted at the Disdukcapil office of the area where the death occurred, and it cannot be represented by another person.

3. Obtaining a Death Certificate for Foreign Nationals (WNA)

For foreign nationals who pass away in Indonesia, the requirements for obtaining a death certificate are as follows:

  • Death certificate from a doctor, hospital, or puskesmas.
  • Death certificate from the village office (kelurahan).
  • Photocopy of the applicant's KTP.
  • Photocopy of the KK of the deceased and the applicant.
  • Photocopies of the KTP of two witnesses.
  • Photocopy of the residence certificate (SKTT) for holders of a limited stay permit (ITAS).
  • Photocopy of the passport, legalized.

If the application is delayed, the requirements remain the same. For WNA, every death certificate application will be subject to a retribution fee as determined by Disdukcapil.

Obtaining a death certificate is very important, as it will be useful for several matters in the future. In addition, by obtaining a death certificate, the death is officially recorded by the state. Beyond that, processing this document is also important for the family left behind.

The benefits of obtaining a death certificate include settling inheritance distribution, filing a life or death insurance claim, managing pension funds, preventing misuse of personal data, and meeting the requirements for the surviving spouse to remarry. That is the set of requirements and the steps for obtaining a death certificate. Make sure all the required documents are complete to make the process easier.
