You should learn how to arrange a death certificate starting now, because loss can come at any time. Unfortunately, many people still do not understand how to process a death certificate .

So, please read the explanation of how to arrange a death certificate in this article.

Stages of Processing a Death Certificate Offline

When someone passes away, their family is required to register the death certificate at the local Civil Registry Office. The purpose is for the loss to be officially recorded by the state.

So, how do you process this death certificate? Read the full explanation below:

1. Prepare the Required Documents

Before you process a death certificate, you need to know in advance which documents you must prepare as requirements for making a death certificate .

So, before you go to the Civil Registry Office, prepare the following important documents first.

  • Photocopy of the ID card (KTP) of the deceased.
  • Photocopy of the ID card (KTP) of the person reporting the loss.
  • Photocopy of the ID card (KTP) of the witness.
  • Photocopy of the Family Card (Kartu Keluarga) of the deceased and of the person reporting the loss.
  • Photocopy of the deceased's birth certificate or the deceased's marriage certificate.
  • A death certificate issued by a hospital, community health center (puskesmas), or doctor.
  • Attach a death certificate issued by the local village office (kelurahan).
  • A death certificate from the neighborhood unit head (RT).

Now, what happens if the deceased has no identity documents? If this is the case, the registration of the loss can still be done. However, it requires a statement from the local court or local police confirming the loss.

Meanwhile, what if the processing of the death certificate is already more than 30 days or 1 month later? You can still make the death certificate, provided you meet the following requirements:

  • Include a death certificate issued by the local village head (lurah).
  • A death certificate or autopsy report (visum) from the hospital, doctor, or puskesmas that treated the deceased.
  • Photocopy of the deceased's birth certificate.
  • Photocopy of the ID card (KTP) of the person reporting and of the eyewitness. This witness is someone who clearly knows about the circumstances of the loss.
  • Photocopy of death certificate of a wife or husband. This document needs to be included if the deceased was a widower or widow.

So, processing this death certificate can only be done at the Disdukcapil in the area where the death occurred. Please also remember that this process cannot be represented by someone else.

2. Visit the Office of Population and Civil Registration

Actually, obtaining the death certificate is not difficult, as long as you have prepared all the important documents.

So, once you have gathered all of these documents, simply go to the local Office of Population and Civil Registration (Dukcapil).

However, please be aware that the process of obtaining this death certificate must be matched to the domicile address of the deceased.

Currently, Indonesian citizens can already check their data online through the website online to make processing this death certificate easier. Simply visit the official Dukcapil page, dukcapil.kemendagri.go.id, to view the data you need in full.

If the ID number (KTP) you entered is valid, you will be able to access the page containing the full data matching the KTP you entered earlier.

Obtaining a Death Certificate for Foreign Nationals

In fact, processing this death certificate is not only for Indonesian citizens (WNI), but also for foreign nationals (WNA). So, if a foreign national passes away, the important documents must be included in accordance with the applicable regulations.

1. Document Requirements

Here are some requirements you need to prepare to process a death certificate for a foreign national.

  • A certificate of death from the doctor, hospital, or community health center (puskesmas) that provided care.

  • A certificate of death issued by the village office (kelurahan).
  • Photocopy of the Family Card (Kartu Keluarga) of the deceased and the applicant.
  • Photocopy of the certificate of residence (SKTT). This document is required for holders of a Limited Stay Permit (ITAS).
  • Photocopy of the legalized passport.
  • Photocopy of the ID cards of at least 2 witnesses.

Please note that it is best to process this death certificate soon after a few days of mourning.

Indeed, there is no difference in requirements for foreign nationals when processing a death certificate. However, if the processing of this death certificate exceeds 30 days from the date of death, the foreign national must pay a retribution fee as determined by the Dukcapil office.

2. Process of Making a Death Certificate

Once you know the requirements for a death certificate, you should also learn how the process of making it works.

So, this death certificate can be processed once all required conditions have been met and submitted to the Office of Population and Civil Registration (Disdukcapil).

Afterward, you will need to wait about 14 working days for the death certificate to be issued. However, some Dukcapil offices in certain areas can complete the processing faster.

In fact, some offices can finish making this death certificate in just 2 to 7 working days.

If the deceased is an Indonesian citizen, there will be no charge for processing the death certificate. The entire process is free of charge.
